  • The principal has full authority to issue duplicate LCs. Duplicate LC can only be given to the student or his / her guardian.
  • Whether or not to issue a duplicate LC is at the discretion of the school principal. Duplicate LC can be issued by the principal after obtaining proper grounds for issuing duplicate LC. (Affidavit and valid grounds on application of Rs. 100 stamp).

  • When admitting a student, the LC should come in handy and immediately check that there are no empty columns in it, there are no details in the signature. Etc. and return immediately if correction is found.
  • Do not admit a student to a school without an LC or in the hope of getting an LC. Do not return the old school LC to the student under any circumstances once it is registered in the General Register. But if the student wants to return the LC, give your school’s LC.
  • The counter signature of the competent authority is required behind the LC of the other board.

But it can be done only after the approval of the competent authority based on the order of the first class magistrate. If there are more mistakes in cardamom, make a new LC. Cancel old LC.
  • The school does not give LC to the student as the students who have passed standard 8 or 10 have to study in the upper standard of the school, which is not a good thing.
  • Errors in the existing age list should be corrected only after the competent authority has corrected the errors in the age list. Do not directly modify the LC.

Things to keep in mind before issuing School Leaving Certificate (LC)

There are two types of errors in cardamom.

(1) Clerical errors (2) Pre-existing errors.

  • (1) Clerical Errors: Error made by the writer while writing LC, correction of the error as soon as it comes to the notice by the principal of the school. But there is no need to hit the principal’s coin. (For example, if Pankajbhai is wrong, if Pankaj Kumar is right, then write Pankaj Kumar next to it and sneer at Pankajbhai in such a way that an old mistake appears).
  • Correct the mistake made by the writer while writing the LC while keeping the carbon paper while correcting the LC at the same time and certify the correction by signing the original of the principal in both the LC and half of the LC. Don’t make such an improvement later.
  • When more than one amendment in LC is certified, all the amendments should be signed by the principal. Do not sign short. The card must have the principal’s signature. Authorized person or officer can sign if there is no principal. In cardamom, sign only after the principal compares it with the age sheet.
  • The date of issue of LC must be written and the school round seal (coin) must be affixed on both the LC and half of the LC. Write and sign the full details on the back of the LC bearer’s half of the LC. When issuing LC, the principal should also make a note in the age sheet (LC number, date of issue of LC, reason for taking LC etc.) and sign.
  • Do not make the dash (-) small in the box of any detail but make it as no one can write in the detail. The columns in LC are both English and Gujarati. But LC is given in English only. Which is not appropriate.
  • The LC issue date should be on or after the school leaving date. Do not use whitener if you make a mistake while writing LC. Both the LC and half of the LC should have the original signature of the principal, class teacher and clerk below.
  • There must be a coin with the principal’s signature on both the LC and the half of the LC. Use only brown or black pen when writing LC. Do not use green, red pens. Do not use a gel pen when writing LC.
  • The back of the LC should be marked as carbon paper.
  • The serial number should already be given in the LC book so that the cardamom is not used away.
  • Write the details in the card as per the age list (for example, do not write if the mother’s name is not there). Write full details in LC (for example 21-07-1991. 21st July 1918).
  • Do not leave any boxes empty, make a big dash (-) in the empty box. The LC should be sample wise and of appropriate size. The LC and half of the LC should be not sideways but front to back.
  • Do not add unnecessary calls to the LC. (E.g. SEBC, SC, ST, Bank Account Number, Aadhar Card Number etc.). The LC should have everything required such as name of trust, name of school, address, index number etc.).
  • The right details should get the right space in the LC. Such as the name of the student, date of birth, in words) LC in written form in legible letters. Do not provide computerized LC.
  • The LC should be written by the same person and in such a way that the letters do not separate. Issuance of LC in the language in which General Register is written (as per 2012 circular).
  • If the LC is given in Gujarati language and if requested in English, it should be given in English instead of issuing a separate LC. Write “Translation in English” on the top right of the LC in the same way as “Translate in English” when the LC of English is requested in Gujarati. (As per the circular dated 2011/2016).
  • Providing LC in Gujarati and English language. Writing General Register in Gujarati and English language (as per circular dated 2011/2016).
  • Write the details of the summary of the LC or the date of the alle on the carton of the LC book so that the remote use of the LC can be prevented.
